At PineWoodsAI, we are committed to delivering high-quality AI-powered insights, digital experiences, and educational services. This policy explains how our offerings are delivered and what users can expect when engaging with our Services.
1. Delivery Timeframes
1.1 Webinars and Live Events
• Access links are delivered via email at least 24 hours before the event.
• If applicable, recordings are provided within 3 business days.
• PineWoodsAI may withhold recordings as needed to protect participant privacy or proprietary content.
1.2 AI Tools, Platform Access & Subscriptions
Subscription Activation
• Upon successful payment, subscription access is activated immediately or within 24 hours.
• Access continues through the end of your current billing period unless cancelled per the Terms of Service.
Subscription Downgrades (User-Initiated)
• Tier downgrades take effect at the start of the next billing cycle.
• No partial refunds or prorated credits are issued for the current cycle.
Free Trials (If Offered)
• PineWoodsAI may offer free trials for eligible Services.
• Trials end at the earlier of:
1. 7 days, or
2. Reaching a token or usage threshold defined at signup.
• At trial expiration, continued access requires an active paid subscription.
• Users may cancel at any time during the trial to avoid conversion.
Digital Tool Access
• Onboarding links or login invitations for paid modules are delivered within 1–2 business days.
• Some assessments or reports may be delivered instantly or within 1–3 business days.
1.3 Workshops, Trainings & Facilitated Sessions
• Prep materials and logistics will be delivered at least 3 business days before the scheduled session.
• Recaps, resources, and follow-up materials are delivered within 5 business days, unless otherwise specified.
2. Delivery Methods
Services may be delivered via:
• Secure web portals (Athena Prime, RIF dashboards)
• Video conferencing platforms (e.g., Zoom)
• Secure email
• Optional third-party integrations (e.g., Slack, Google Calendar, Rook)
• Customized channels for enterprise clients
All delivery pathways prioritize user privacy and security.
3. Client / User Responsibilities
To ensure smooth delivery, users agree to:
• Review provided materials before sessions
• Maintain reliable internet access
• Complete necessary setup steps (e.g., authentication, permissions)
• Provide accurate information for assessments
• Follow all usage and timing guidelines
4. Rescheduling & Cancellations (Live Content)
• Users may reschedule or cancel with 24 hours’ notice.
• Late cancellations or no-shows may be forfeited.
• PineWoodsAI may reschedule a session with reasonable notice.
5. Technical Issues
5.1 PineWoodsAI-Side Issues
If Services are disrupted due to platform-side issues, we will make reasonable efforts to reconnect or reschedule at no additional cost.
5.2 User-Side Issues
If user-side technical issues occur, rescheduling may be offered at PineWoodsAI’s discretion.
5.3 Payment Failures
• If subscription billing fails, we will notify you via email.
• You may update your payment method at any time.
• Access may be suspended after 5 days of failed attempts.
• Service resumes once payment is successful.
6. Recordings & Content Use
• Live sessions may be recorded for quality, training, or delivery purposes.
• Recordings will be shared with participants when appropriate.
• Unauthorized copying or distribution of recordings or materials is prohibited.
7. Materials & Digital Deliverables
Deliverables such as slides, reports, or insight summaries are sent within 3–5 business days after the relevant session or milestone unless otherwise specified.
Delivery timelines for AI-generated or system-based outputs may vary depending on:
• Data completeness
• Complexity
• Multi-model processing requirements
• Group or enterprise scope
8. Completion of Services
A service engagement is considered fulfilled once the contracted deliverables—such as access to Athena Prime, reports, workshops, or AI insight modules—have been provided.
Upon completion or account termination, data will be handled according to our Privacy Policy.
9. Refunds
Payments are non-refundable unless explicitly stated at the time of purchase.

10. Beta & Preview Features
Some features may be labeled beta, preview, or experimental.
These features:
• may change without notice
• may have limited functionality

• are provided “as is,” without warranty
